CONTENT OFFICER

Content Officers are responsible for creating engaging Youtube videos related to, but not limited to, current / past issue articles, Evening With Neuroscience, and overall Grey Matters Journal representation. They focus on the online Youtube image of Grey Matters Journal.

Responsibilities

  • Produce and edit quarterly videos related to past journal articles
  • Produce and edit Evening with Neuroscience trailer and interview videos
  • Coordinate with Podcast, Social Media, Production, and EWN teams as needed

FINANCE OFFICER

The Finance Officer oversees Grey Matters’ financial operations, including budgeting, fundraising, and managing fund flow. This three- to four-year role is intended for freshmen or sophomores, who will train for one to two years under the current Finance Director before assuming the position in their junior or senior year. This structure ensures continuity, stability, and strong recordkeeping within Grey Matters’ financial management.

Responsibilities

  • Ensuring each branch is spending no more than their allocated budgets for the year
  • Conducting and recording all Grey Matters related transactions
  • Help with filing Grey Matters Journal’s IRS 990 form with Senior Leadership
  • Create quarterly financial reports for Grey Matters stakeholders and Nonprofit Board Members
  • Maintaining saving accounts, CDs, and HYSAs
  • Assist the Finance Director in Finance related responsibilities and tasks

JOURNAL CLUB OFFICER

A Journal Club Officer will assist the Journal Club Coordinator in planning and facilitating bi-weekly Grey Matters Journal Club meetings. Responsibilities will encompass Journal Club Coordinator responsibilities, though are acted upon when requested by the Journal Club Coordinator. This position is freshman friendly, though prioritizes those who have experienced Journal Club before.

Responsibilities

  • Attend weekly leadership meetings
  • Attend and host bi-weekly Grey Matters Journal Club meetings
  • Take attendance during Journal Club and ensure mandatory attendance for first-time Editors and Authors
  • Recruit presenters and organize the presenter schedule
  • Fill in for presenters and assist with presentation creation when necessary
  • Provide feedback for presenters to slide drafts and post-presentation
  • Draft meeting and marketing information
  • Communicate with the Production, Marketing, and Social Media branches for proper outreach of upcoming events
  • Reserve rooms with proper technology and accommodations for presenters
  • Ensure event accessibility through appropriate room reservation and hybrid Zoom streaming
  • Update public information pertaining to Journal Club, such as Discord announcements, Grey Matters’ website, Journal Club archive in the Google Drive

MARKETING OFFICER

The Marketing Officer at Grey Matters is responsible for expanding the journal’s visibility and engagement on and off campus. This role involves coordinating flyer and volume distribution, managing marketing logistics through shared forms, reaching out to various hospitals and research institutions, and maintaining an up-to-date emailing list for outreach. The Marketing Officer also assists with promoting events and organizing catering logistics for journal release parties and speaker sessions.

Responsibilities

  • Coordinate flyer distribution to promote journal issues, recruitment cycles, and events across campus
  • Oversee the volume distribution of the Grey Matters journal in libraries, departments, and student spaces to maximize reach and visibility
  • Manage the marketing form for tracking outreach tasks and flyer locations
  • Maintain and update the emailing list to ensure timely and effective communication with subscribers and potential contributors
  • Assist with event marketing and catering logistics, including outreach strategies and coordinating food orders for journal release parties or speaker events
  • Manage Newsletter output

PODCAST OFFICER

The Podcast Officer plays a key role in producing and promoting episodes for the Grey Matters Podcast. Responsibilities include planning content, coordinating with hosts and guests, recording and editing audio, and ensuring brand consistency. The role also involves writing episode descriptions, managing publishing schedules, and collaborating with Social Media, Marketing, and Content branches to maximize reach and engagement.

Responsibilities

  • Coordinate with other members of the Podcast branch to plan, record, and publish episodes for the Grey Matters Podcast
  • Collaborate with hosts and guests to develop episode outlines, discussion questions, and interview prompts
  • Record and edit podcast episodes using tools such as Audacity, CapCut, or iMovie
  • Ensure consistent audio quality and adherence to Grey Matters’ branding and tone guidelines
  • Work with the Social Media and Marketing branches to promote episodes across Grey Matters’ platforms
  • Write concise and engaging episode descriptions and show notes for Spotify, Apple Podcasts, and the Grey Matters website
  • Maintain a consistent publishing schedule and upload episodes to streaming platforms
  • Organize and maintain podcast files, transcripts, and cover art within shared team drives
  • Collaborate with other Grey Matters branches, including Content and Marketing, as needed

OUTREACH COORDINATOR

The Outreach Coordinator assists the Outreach Director in organizing and executing outreach initiatives for Grey Matters Journal. This role focuses on coordinating free neuroscience outreach events at K–12 schools across western Washington, including activities such as sheep brain dissections, neurotechnology demonstrations, and college student panels. Outreach Coordinators play a key role in maintaining communication, organizing members, and fostering an inclusive and collaborative environment aligned with Grey Matters’ mission of accessibility and education.

Responsibilities

  • Collaborate with the Outreach Director to complete Outreach-related tasks and initiatives
  • Attend weekly Outreach Leadership, general Outreach, and general Leadership meetings
  • Coordinate events by carrying out responsibilities that include, but are not limited to:
    • Contact schools for new events and maintain communication with the event organizers
    • Create sign up forms through Google Forms for members to sign up for events
    • Organize groups of Outreach members to send to events
    • Create separate Discord channels for event groups
    • Plan and run event planning meetings, including creating a new event planning document for each planning meeting
    • Ensure that all members attending events have the necessary training requirements fulfilled prior to the event
  • Coordinate communication within and outside the Outreach branch by carrying out responsibilities that include, but are not limited to:
    • Sending Discord messages and reminders in their respective channels for meetings, events, and other communications
    • Communicate all necessary information to Outreach members and GMJ leadership
  • Keep documentation of Outreach activities by updating spreadsheets (attendance, schools to contact, etc.)
  • Assist the Outreach Director with onboarding new Outreach members
  • Maintain an alignment with the GMJ values of accessibility, diversity, and inclusion

OUTREACH MEMBER

Outreach Members support Grey Matters’ neuroscience outreach through event participation at high, middle, and elementary schools and engagement at weekly meetings.

Responsibilities

  • Assist with outreach events such as sheep-brain dissections by helping students, answering questions, and ensuring safety
  • Guide small groups during events; experienced members may lead groups independently
  • Attend weekly Outreach meetings and participate in Chum Chats (short neuroscience presentations) when interested
  • Represent Grey Matters professionally when interacting with teachers, parents, and students

SMALL EVENTS COORDINATOR

Small Events Coordinators (SEC) are meant to fill the gaps left by the event coordinators. Event Coordinators will largely be busy with Dawg Daze and EWN, so other events like fundraising, socials, and some general forms of outreach may be overlooked. SEC has the authority to determine what events the RSO will participate in and to what degree, but some events we generally participate in have been listed. SEC is able to collaborate with other leadership on any projects they want to make happen.

Responsibilities

  • Look out for and sign up for events that Grey Matters would be interested in participating in
  • Coordinate within leadership and outside the RSO to ensure success of events
  • Ensure participation in the following events for fundraising: Maker’s Fair in the fall and winter, Hot Chocolate Run, and Litfest Bookfair with Bricolage
  • Plan RSO socials, ideally one a quarter for leadership and general members
  • Recruit volunteers, determine budgets, and manage elements that are required for events you plan
  • Present future plans at weekly leadership meetings

SOCIAL MEDIA OFFICER

The Social Media Officer is responsible for creating promotional materials across Grey Matters’ social media platforms, including but not limited to Instagram, Facebook, and LinkedIn. They are core to the digital presence of the organization and expanding our presence both on and off-campus. This is a great position for anyone with creative aspirations in the organization and enjoys experimentation.

Responsibilities

  • Coordinate with the Social Media Director to create content for Grey Matters’ social media, including for Issue Releases, application announcements, Dawg Daze, EWN, Journal Club, fundraisers, and other social events
  • Utilize Canva and other creative tools to create digital media content
  • Maintain consistent branding using the official Grey Matters’ color palette and font guide
  • Maintain a posting schedule using MetaSuite
  • Fulfill social media requests from other Grey Matters’ branches, as requested
  • Collaborate with other on-campus organizations to repost content on their social media channels
  • Maintain the Grey Matters’ LinkTree with updated links to events, sign-ups, applications, and the website
  • Collaborate with other Grey Matters’ branches, including Marketing and Content teams as needed

STORE MANAGER

The store manager leads the store team in the production of Grey Matters merch and our journal issues. They also work with the finance team to keep track of inventory and sales and marketing team to organize advertisements of GM products.
